In this position, you will be a member of our Executive Compensation team. Under supervision, you will have responsibility for assisting in the efficient administration of our programs, including the Stock Incentive Plan under which all stock compensation awards are granted, the non-qualified deferred compensation plan, our executive benefits programs and global recognition platform. Among the various responsibilities, you will interact with the vendors administering these programs and also provide guidance on and conduct validation of the program rules.
General Responsibilities
Handle large volumes of data requiring strong organizational and analytical skills.
Organize data from multiple sources to a single report/database.
Provide accurate data necessary for transactional, financial and regulatory reporting.
Support the team on special projects and/or have contact with plan participants.
Interact with other HR professionals to provide plan or participant information and guidance.
Specific Responsibilities
Reporting - Run queries as required from SAP, Fidelity PSW, Certant and any other vendor systems or databases using Excel and/or Google Sheets and other various vendor reporting tools.
Stock Plan Data - Manage required data in Certant and Fidelity platform for Stock and Deferred Compensation plans. This includes participant indicative data, grant loads, grant agreements, plan documents, product IDs, terminations, proration rules, and monitoring of grant acceptance status. Manage relationship with stock plan services vendor
Stock Plan Transaction Quality – Thoroughly review each stock plan vesting event detail to ensure each individual’s vesting is reflected correctly. Make any necessary corrections prior to distribution.
Stock Plan Transaction Communication – Provide the income realized and tax withholding amounts for each participant to the payroll contacts in each country.
Legal Filings - Report to our Corporate Secretary all Director and Section 16 equity grants, vesting events and stock sales; keep ongoing beneficial ownership records to align with annual filings.
Deferred Compensation & Executive Benefits Plans – prepare eligibility lists for annual enrollments, act as liaison between vendors and payroll to ensure payroll deduction accuracy and process funding to vendors. Process executive benefits reimbursements.
Auditors – Provide any requested information, reports, screenshots, backup documentation to auditors as required; equity audits are usually done each quarter, annually for 401(k).
Recognition platform (Simply Excellent) – Provide special payment upload for U.S. payroll each month for any awards given to U.S. employees; provide feedback to vendors on terminations each quarter (i.e. terms that are actually international transfers and home addresses) and respond to questions and/or issues that arise on an ongoing basis. Be the point of contact for HR teams on any issues/questions regarding the platform
Payroll Processing/Financial reporting - Send payments for processing for various incentive programs managed centrally by executive compensation and provide payment reporting to finance teams.
Bachelor's Degree or equivalent professional work experience.
7+ years of human resources experience, preferably with 3 or more years specialized in executive compensation with stock plan and/or retirement plan administration.
Strong mathematical skills and comfort with numerical analysis.
Strong detail-orientation skills to complete work accurately.
Strong organizational skills and flexibility to perform with multiple/changing deadlines.
Strong ability to effectively prioritize and manage various projects.
Proven ability to research and analyze information.
Strong ability to communicate effectively with internal and external clients including plan participants.
Strong ability to exercise discretion in handling sensitive, confidential matters.
Above average proficiency using Microsoft Excel or Google Sheets with command of formulas and analytical tools.
Working knowledge of SAP/successfactors preferred (or other HRIS system) with demonstrated ability to run reports, export data and use query functionality.
