HR Records & Compensation Specialist @ HR Department (Internal Only)

Primary Purpose:
Receives, processes, and maintains files and records for employees of the district. Monitors access to human resource records and maintains proper security and confidentiality. Contributes to the efficient operation of the records department and to communicate salary information and personnel procedures to employees.
Qualifications:
Education/Certification:
- High school diploma or GED
- Must have an Associate’s Degree or have a minimum of 48 semester hours of higher education coursework or pass a district test
Special Knowledge/Skills:
- Aptitude for math
- Advanced computer skills
- Ability to communicate and work well with others
- Strong organizational skills and ability to maintain an accurate records system
- Must be flexible, able to work under pressure and work with deadlines
- Proficiency in keyboarding and file maintenance
Experience:
- Three (3) years of clerical and file maintenance experience preferred
Major Responsibilities and Duties:
File Management
- Verify, input into the computer, and maintain personnel data and files on all employees in the district.
- Input information into BPlus for the monthly Board agenda (new hires & resignations).
- Create and maintain demographic and payroll records for all employees.
- Create initial state and local leave balances in the computer. Updates computer when leave balances change due to leave of absence and resignations. Computes balances for returns from leave and communicates that information with the Substitute Office for them to update at the appropriate time.
- Check the return of evaluation forms which are required for all employees.
- Keep accurate lists of all new hires and year-end resignations/retirements for Risk Management, Personnel and the Substitute Offices.
- Complete verification of employment letters as requested. This includes, but is not limited to federal assistance forms, salary verification for loans and sponsorship forms for immigration.
- Prepare service records for resigning employees and records requests during the year.
- Return original certificate, transcript and service records to resigned employees with a Release from Liability Form.
- Administer the records storage and destruction process of personnel records following established records retention schedule and requirements of the Texas State Library and Archives Commission. Assist with the purging of records and coordinate imaging of inactive HR records.
Payroll
- Determine salary for all employees according to degree and years of experience for new hires, reassignments, and salary adjustments.
- Compute salaries and prepares action sheets for new hires, salary increases, change of assignments, and medical leaves. Prepares payroll upload form for department chair/team leader and special projects supplements.
- Calculate salary for employees going out on a leave of absence and recalculates salary upon their return.
- Communicate with employee on concerns and answers questions concerning their leave of absence.
- Coordinate sick leave benefits for worker’s compensation and sick leave bank days as well as salary for assault leaves.
Reports and Correspondence
- Serve as the contact person between district employees regarding employee records, including new hires, resignations, change of assignments, service records, local sick leave pay-off for retirees, Board policy, etc.
- Prepare correspondence, forms, and reports according to district standards and requirements.
Other
- Prepare and distribute contracts for new hires, and annual probationary/term teacher contract renewals as applicable. Checks the return and files contracts.
- Maintain confidentiality.
- Follow district safety protocols and emergency procedures.
- Maintain an appropriate level of technology competence to meet the current and future needs of Alief.
- Implement alternative methods of instruction as needed.
- Perform other duties as assigned.
