Job Summary: Leave of Absence & Workers' Compensation Administrator

Coordinates the administration of the Leave of Absence (LOA), Americans with Disabilities Act (ADA), Workers’ Compensation (WC) and Transitional Return to work (TRTW) programs. The Leave & WC Administrator, will coordinate the interaction of multiple corporate functions, consults with internal and external resources to facilitate the LOA, WC, and TRTW process and provides guidance to Human Resources and Risk Management on program operations and requirements and compliance with state and federal regulations.

ESSENTIAL FUNCTIONS:

Data Entry:

  • Utilize Archer to track and log all documentation received from vendors for Leave, ADA & WC Claims. Provide Team Members with necessary communication to explain the process under the different state & Federal leave and workers’ compensation laws.

  • Process and communicate benefits arrears premiums to Team Members.

Leave of Absence/ADA:

  • Advises Team Members, Team Member's family members, Leaders, HR Partners and third 3rd party administrators on leave policies and processes.

  • Performs the Interactive Process to gain a foundational understanding of the Team Members needs and evaluates information from the medical and/or psychological professionals to determine eligibility, as necessary under the ADA/FEHA. In addition, partnering with the line business to make recommendations.

  • Partners with the third party administrators, to ensure that all leaves/WC claims are accurately administered, coordinates the ADA process; verifies eligibility and leave determinations, coordinates the applicable leaves including integration with state leave laws, monitors maximum duration of leave allowed under federal/state and/company policy, and supports the return to work process including transitional return to work programs.

  • Review all active and pending LOA’s including eligibility, physician certifications, start/end dates, periodic check-ins, and return-to-work dates (Maternity, Paternity, Family, Medical, Military and WC cases).

  • Responsible for all communications with all integrated partners e.g. disability specialist to coordinate concurrent short-term & long term disability benefits and Workers’ Compensation benefits.

Workers Compensation:

  • Process and oversee workers' compensation documentation, status reports, claims settlement and coverage.

  • Identifies cases involving high-frequency and high-risk injuries/illnesses, performs ongoing evaluation and treatment plans.

  • Determines essential job functions, identifies and implements necessary limitations, accommodations and part-time work for high-frequency/high-risk cases to reduce the length of lost time from work

Billing, Reporting & Data Management:

  • Process the invoicing and reconciliation of missed premiums, hours worked, benefits termination reports and to provide the appropriate data to the third party administrators.

  • Utilizes HR system (Workday) and web based vendor software as needed to input and update leave data and generate reports.

Compliance & Training:

  • Review and adhere to all LOA, FMLA & State specific leaves, ADA, and WC auditing processes and procedures.

  • Monitors compliance with company policies and state and federal regulations such as FMLA, ADA, USERRA, HIPAA and workers’ compensation.

  • Other Responsibilities:

Performs all other duties as assigned or required.

KNOWLEDGE AND SKILLS

  • Leave Management - Skilled in the process of handling absences whether they are due to illness or injury. The process often includes absences covered by the Family Medical Leave Act (FMLA) and other state leaves and even workers' compensation. (Advanced)

  • Workman's Compensation - Implementation of all matters of the program, including claim investigations, settlements and litigation. (Intermediate)

EDUCATION, COMPETENCIES, CERTIFICATIONS/LICENSES

Minimum Qualifications:

  • Minimum 2 years experience in Leave Administration, Human Resources, Workers’ Compensation and Benefits.

  • BA/BS in related area / field.

Preferred Qualifications:

  • Professional designation (CLMS or equivalent).

We target between minimum and midpoint of the range, and all offers are subject to a fair pay analysis - Compensation Range: Min: $89,739.00 - Mid: $112,173.00- Max: $134,608.00
