The Total Rewards Analyst is responsible for executing and maintaining day-to-day total rewards and HRIS data operations, with a focus on accuracy, compliance, and transactional efficiency. This role serves as the central processor for all ADP Workforce Now transactions, including job changes, spot bonuses, and hardship loans. It also supports benefit deduction changes, HSA and 401(k) transactions, and payroll backup tasks. This position is highly detail-oriented, and critical to ensuring timely and correct data flow across payroll and HR systems.

This role is the backup to in-house Payroll.

Updated Essential Duties & Responsibilities:

ADP HRIS & Compensation Transactions

  • Process and audit all ADP entries including:
    • Job title, department, and manager changes
    • Pay rate changes and promotions
    • Spot bonuses, retention bonuses, and gift cards
    • Hardship loans and other voluntary deductions
  • Ensure coding and effective dates align with payroll schedules
  • Support audit trail and change log accuracy for compliance purposes

Day-to-Day Responsibilities

  • Backup Payroll inbox and resolve transactional requests
  • Maintain HRIS records for employee lifecycle changes (new hire, term, transfer)
  • Process benefits eligibility and deduction changes including:
    • Loan repayments (including hardship)
    • Vincentian Endowment deductions
    • Cell phone reimbursements
    • 401(k) and HSA contributions

Payroll Support (Backup Role)

  • Assist with payroll prep, audits, and post-processing as outlined in weekly tasks
  • Upload benefit and retirement files, reconcile deductions, and assist in grant coding
  • Download and store required reports and entries (journal entries, audit reports, pay statements)
  • Approve final payroll register

Minimum Qualifications (for posting):

  • Bachelor’s degree in: Accounting, Finance, Business Administration, or a related field or 4 years progressively responsible experience in accounting, finance or math.
  • 1+ years of experience in payroll or HRIS data entry
  • Experience working with ADP Workforce Now or similar payroll/HRIS platform
  • Proficient in Excel, including formulas, pivot tables, and VLOOKUPs
  • Strong understanding of payroll deductions, benefits reconciliation, and tax-advantaged plans (e.g., 401(k), HSA)
  • High attention to detail and accuracy when processing sensitive transactions
  • Ability to handle confidential data and meet recurring deadlines

Preferred Qualifications:

  • Experience with benefit invoice reconciliation and file uploads (401(k), HSA)
  • Familiarity with grant-funded payroll or nonprofit cost allocations
  • Knowledge of ERISA regulations or retirement plan administration
  • Experience supporting payroll audits or journal entry preparation
  • Exposure to compliance and reporting requirements for tax-advantaged benefits

 

Physical Requirements:  

  • Prolonged periods of sitting at a desk and working on a computer. 
  • Able to stand, walk, sit, bend, reach and lift up to 20 pounds are general requirements for this position
