Position Summary
The Workers' Compensation Specialist manages and administers the organization's workers' compensation program and ensures compliance with all applicable federal and California state regulations. This role oversees the full employee injury and claims process, including coordination with insurance carriers, third-party administrators, medical providers, and legal counsel. The position supports modified duty and return-to-work efforts while maintaining accurate and confidential claim documentation.
This role requires hands-on workers' compensation experience, strong communication skills, and the ability to balance employee advocacy with the organization's legal and financial interests. The Specialist works closely with Human Resources, operations, safety teams, and external partners to ensure timely, compliant, and efficient claims handling.
Key Responsibilities
- Manage workers' compensation claims from initial incident reporting through closure, ensuring timely filing and documentation
- Ensure compliance with California workers' compensation laws, OSHA reporting requirements, and internal policies
- Serve as the primary point of contact for employees, insurance carriers, third-party administrators, medical providers, and attorneys
- Review incident reports, gather statements, and support investigations to determine claim compensability
- Maintain accurate, organized, and confidential claims files and system records
- Monitor claim progress, medical status, benefit payments, and litigation activity as applicable
- Participate in settlement discussions and provide recommendations when appropriate
- Coordinate and track return-to-work and modified duty programs in partnership with Human Resources and management
- Prepare routine and ad hoc reports for leadership related to claim status, trends, costs, and risk exposure
- Identify injury trends and support safety and injury prevention initiatives
- Assist with internal and external audits, including carrier and regulatory reviews
- Maintain current knowledge of workers' compensation legislation, policies, and best practices
